The Special Event Permit Application has been designed to assist event organizers and serve as a guideline for the development of event plans that comply with provincial law, bylaws, policies and regulations governing activities associated with the production and management of special events.

 

The following types of events are exempt from the requirements of the Special Events By-law, including the need to obtain a permit; however, other City by-laws will still apply to such events:

Farmers’ Markets;
Events at Places of Worship; and
Political rallies or protests.

In addition, the following are subject to the by-law, but not subject to the prescribed fees: 

Charitable Events; and
Events held by Community Service Organizations.

As an event organizer, it is your responsibility to consider the venue, environment, anticipated attendees, and event components of your proposed event in order to develop and implement management strategies that ensure the safety of your guests, citizens, and the surrounding environment affected by your event.
 
By applying for a Special Event Permit, you and your agent agree you have the sole responsibility at all times to be knowledgeable about, fully understand, and meet or exceed all local, and provincial laws, policies, and regulations associated with the proposed event and its related activities, including but not limited to the provisions of City of Vaughan’s bylaws, Special Event Permit Application, Special Event Planning Guide, other city documents, permits, requirements and/or correspondence. You and your representatives also agree to accept the venue in an as-is condition and inspect all areas within the event venue and immediate surrounding areas for hazards and take any reasonably necessary actions to protect event participants and attendees until corrective/remedial measures are implemented.
 
As part of the Special Event Permit Application (pdf) process, if you plan on utilizing a City-owned facility, please ensure that the facility/venue and amenities has been booked and confirmed through Recreation Services at RecCSD@vaughan.ca before submitting your Special Event Permit Application (pdf).
 
Once you have your tentative contract number, you will need to complete a Special Event Permit Application (pdf).  This application must be submitted no less than 15 business days prior to the date of the Special Event and / or any activity that involves a road closure; and 3 days prior to the commencement of a Filming Event. 
 
We will review your application and send you a customized checklist to help you plan your event.

Information pertaining to fire related matters should be included in the SEP application to be reviewed by Vaughan Fire
• Fireworks
Applicants who wish to have fireworks at their Special Event must obtain a permit through Vaughan Fire
